Igbo Union Yorkshire — Membership Terms, Privacy & Data Use
These Terms & Conditions ("Terms") govern your membership of, and use of the member portal operated by, Igbo Union Yorkshire ("the Union", "we", "us", "our"). By submitting a membership application, ticking the acceptance checkbox on the registration form, or otherwise using the member portal, you ("member", "you") agree to be bound by these Terms. If you do not agree to these Terms, please do not register as a member or use the portal.
Membership applications are reviewed by the Union's membership committee before being approved. Approval is at the Union's discretion. New members serve a probationary period (currently six months from their recorded join date) before becoming eligible for certain member responsibilities, such as welfare cooking group rotation. You agree to provide accurate, current, and complete information when registering, and to keep your profile information (including your address, phone number, and emergency contact details) up to date.

Communications may be sent by email, SMS/text message, phone call, or messaging platforms such as WhatsApp, at the Union's discretion. You may update your contact preferences or request that non-essential communications stop by contacting the welfare team, though the Union may still need to contact you regarding essential administrative or membership matters.

The Union operates a welfare programme, including monthly cooking groups (January–November) for members who have completed their probationary period. Members are notified by email when they are assigned to, or moved between, cooking groups. Repeated failure to fulfil cooking group duties without reasonable notice may be recorded on your membership record and may be taken into account by the executive committee.
The Union may take photographs or video at meetings, events, and gatherings for use on the Union's website, gallery, social media, and promotional materials. By attending Union events, you consent to being photographed or filmed in this context. If you do not wish to appear in Union media, please notify an executive committee member in advance of the event.
Members are expected to pay membership dues and any other payments recorded against their account in a timely manner. Payment records, including outstanding and overdue payments, are visible to you in the member portal and to authorised executives. Continued non-payment of dues may affect your membership standing at the discretion of the executive committee.
The Union reserves the right to suspend or terminate a membership where a member breaches these Terms, the Union's code of conduct, or engages in conduct the executive committee reasonably considers harmful to the Union or its members. Where reasonably practicable, the member will be given notice and an opportunity to respond before suspension or termination, except in cases the executive committee considers require immediate action.
The Union takes reasonable care in organising meetings and events, but does not accept liability for loss, injury, or damage arising from attendance at Union meetings or events, except to the extent such liability cannot be excluded by law. The member portal is provided "as is"; while we take reasonable steps to keep it secure and available, we do not guarantee uninterrupted or error-free access.
You are responsible for keeping your member portal login credentials confidential and for all activity that occurs under your account. Notify us promptly if you believe your account has been accessed without your permission. You agree not to attempt to access other members' accounts or administrative areas of the portal without authorisation.
The Union may update these Terms from time to time to reflect changes in how the Union or the member portal operates. The "Last updated" date at the top of this page will reflect the most recent revision. Continued use of the member portal after changes are published constitutes acceptance of the updated Terms.
These Terms are governed by the laws of England and Wales. Any disputes arising from these Terms or your membership will be handled internally by the Union's executive committee in the first instance, in keeping with the Union's constitution and standing rules.
